Early access · founding cohort of 10 companies

Find the manual work that's costing you a hire. Then automate it.

Glaveon runs a 3-week AI audit of your business processes, puts an hours-and-money number on every bottleneck, and then builds the automations with the shortest payback. Made for companies of 20–300 people that outgrew their spreadsheets.

  • 3 weeks, fixed scope
  • NDA + read-only access first
  • Tool-agnostic, no lock-in

The situation

You know something is broken. You just can't point at it.

Most operational drag doesn't show up in any report. It hides in re-typing, chasing, checking and "just send it to me on Slack". Here's what we usually walk into.

  • Nobody can price a process. You know revenue per client. You don't know what one order, one invoice or one onboarding actually costs you in hours.
  • Hiring is the default fix. Volume goes up, so headcount goes up — even when the real constraint is a hand-off between two systems.
  • The stack doesn't talk. CRM, accounting, spreadsheets and a shared inbox, stitched together by people copying fields.
  • AI pilots that never shipped. A demo impressed everyone in the room, then died because it had no owner, no data access and no fallback.
  • Knowledge lives in two heads. When either of them is on holiday, the process stops.

Order-to-cash, as mapped

Sample
1 · intake 2 · qualify 3 · re-enter data 9.5 H / WEEK 4 · approve 5 · invoice 4.0 H / WEEK 6 · collect

Illustrative map. Yours comes from interviews plus real system logs — not from a template.

The deliverable

Six artefacts you keep, whether or not you build with us

The audit ends with documents your team can act on and your CFO can argue with. No slide-deck theatre.

  • 01

Process map of your core value stream

Every step from first touch to cash collected: owner, system, trigger, hand-off, wait time, rework rate.

  • 02

    Cost model per process

Volume × touch time × loaded rate, plus the cost of errors and delay. One spreadsheet, assumptions visible.

  • 03

    Scored automation backlog

Each opportunity gets expected hours saved, build effort, risk, dependencies and estimated payback period.

  • 04

    Data & tooling readiness

Where your data actually lives, what's clean enough for AI, what needs plumbing before anything smart can work.

  • 05

    90-day implementation plan

Sequenced sprints with owners, success metrics, rollback plans and what your team needs to learn.

  • 06

    Risk & governance notes

Personal data touchpoints, access scopes, human-in-the-loop checkpoints, audit trail and failure modes.

3 wks From kickoff to readout, fixed scope
12–20 Process steps mapped and costed
5–8 Interviews with the people doing the work
<6 h Of your leadership team's time, total

Scope figures describe how we run the engagement. They are commitments about our process, not a promise about your savings — those come out of your own numbers during week 2.

How it runs

Three weeks of audit. Then two-week build sprints, only where you say go.

  1. Week 0 · 45 min

    Scoping call

We pick one value stream to audit, agree who we talk to, sign the NDA and set the fixed fee. No obligation past this call.

  2. Week 1

    Discovery

Interviews with the people doing the work, read-only access to your systems, exports of the logs and tickets that show what really happens.

  3. Week 2

    Analysis

We build the cost model, size each bottleneck, test which ones AI can actually take and which need a process fix first.

  4. Week 3

    Readout

Two-hour session with your leadership: the map, the numbers, the ranked backlog and the 90-day plan. You get the source files.

  5. Week 4+ · optional

    Build sprints

Two-week sprints, one outcome each, shipped into production with monitoring and a rollback path. Stop whenever the payback stops.

Where it usually pays back

The boring, high-volume work — not the clever stuff

Payback shows up where volume is high, rules are stable and mistakes are expensive. These are the areas we most often end up automating.

Sales & CRM

  • Lead intake, enrichment, routing
  • Call notes into CRM fields
  • Quote and proposal drafting
  • Pipeline hygiene and nudges

Finance & admin

  • Invoice and receipt intake
  • Three-way matching, exceptions
  • Dunning and payment chasing
  • Month-end data pulls

Customer support

  • Ticket triage and tagging
  • Draft replies from your own docs
  • Escalation detection
  • Knowledge base upkeep

Ops & fulfilment

  • Order and job status updates
  • Supplier email parsing
  • Exception queues with clear owners
  • SLA and delay alerts

People & hiring

  • Application screening prep
  • Interview scheduling
  • Onboarding checklists and access
  • Policy Q&A for staff

Reporting

  • Recurring management reports
  • Data pulled across systems
  • Anomaly flags on key metrics
  • Ask-your-data for the leadership team

How we work

Opinionated in the places that usually go wrong

  • Numbers before tools. We won't name a vendor until the process is costed. The cheapest automation is often deleting a step.
  • Read-only first. Discovery happens with view access. Write access comes per-sprint, scoped, with a rollback plan.
  • Human in the loop where it matters. Anything touching money, contracts or customers keeps a review step until the error rate earns removal.
  • You own everything. Code, prompts, workflows and docs live in your accounts and repos. Leaving us costs you nothing but our absence.
  • Your team gets trained. Every sprint ends with a handover session and a runbook, so ops owns it after we go.

What we don't do

  • Sell you a platform. No seats, no per-user licence, nothing that only works while you pay us.
  • Automate the wrong constraint. If your bottleneck is pricing or demand, we'll say so and stop the engagement there.
  • Ship an "AI strategy" deck. Strategy without a working prototype is a slide show with an invoice attached.
  • Touch production blind. No change goes live without a test path, monitoring and a way back.
  • Train models on your data. Your data is used to run your workflows. Nothing is used to train shared models.

Data handling

An audit means access. Here's how we keep that boring.

Least privilege, by default

Named accounts, read-only scopes during discovery, access removed at the end of each phase. You can revoke everything in one place.

Your tenancy, your keys

Automations run in your cloud and your accounts wherever technically possible. Model API keys stay yours, so does the billing.

Minimum data, logged

We work from samples and metadata over full exports, mask personal data where the analysis doesn't need it, and log what was accessed.

Engagement

Fixed fee for the audit. Sprints after that, only if the numbers hold.

Pricing is quoted after the scoping call, because it depends on how many systems and people the value stream touches. What doesn't change is the shape of it.

Process audit

Fixed fee · 3 weeks

One value stream, mapped, costed and turned into a ranked plan.

  • All six audit artefacts
  • 5–8 stakeholder interviews
  • Cost model with visible assumptions
  • Two-hour leadership readout
  • Fee credited against your first build sprint

Scale & care

Monthly · optional

For teams that want a steady cadence instead of a one-off project.

  • Rolling sprint capacity
  • Monitoring, incident response, tuning
  • Quarterly re-audit of the backlog
  • Enablement for your ops team
  • Cancel with 30 days' notice

FAQ

Straight answers

How much of my team's time does the audit take?

Roughly 45–60 minutes per interviewee, five to eight people, plus a two-hour readout with leadership. Under six hours total for your management team. We do the rest from system exports and logs so nobody has to fill in a questionnaire.

We're not "AI ready". Is this too early for us?

That's usually the right time. A large part of the audit is finding out what has to be fixed before anything intelligent can help: data that lives in one person's inbox, processes with no defined trigger, systems with no API. Some of the highest-payback items we find aren't AI at all — they're a removed step or a fixed hand-off.

What access do you need, and when?

During discovery: read-only, named accounts on the systems in scope, plus exports of the relevant logs or tickets. Write access is requested per sprint, scoped to that sprint's workflow, and revoked when it closes. If your policy requires a screen-share-only approach, that works too — it just takes longer.

Which tools do you build on?

Whatever your stack justifies. Often that's your existing CRM and accounting APIs, a workflow engine such as n8n or Temporal, and a model provider you already pay for. We're not resellers, so there's no incentive on our side to pick anything but the cheapest thing that survives contact with your ops team.

Do you replace people?

Our engagements target work, not headcount, and we say so in the readout: which hours come back and where they can go. Most clients redeploy that time into sales, service quality or the backlog nobody ever gets to. If your goal is a reduction in force, we're not the right partner for it.

What if the audit says automation isn't worth it?

Then that's the deliverable, with the numbers behind it, and we don't propose sprints. It's happened and it will happen again. A defensible "not yet" is cheaper than six months of building the wrong thing.

How does the waitlist work?

The founding cohort is ten companies. We open slots in small batches so each engagement gets senior attention. Join the list, tell us your team size and role, and we email you when a slot matching your profile opens. No drip campaign, no sales sequence.

Do you work in English and Ukrainian?

Yes. Interviews, documents and training can be run in either language, and mixed teams are normal for us. Contracts are available in both.
